- Weight Requirements If you cross state lines with a truck or semi-tractor and trailer weighing 26,001-lbs or more and are leased to a trucking company that provides IFTA fuel tax stickers and an IFTA fuel tax cab-card for your truck, you will not need to register for IFTA fuel tax. Otherwise, if your plate is 26,001-lbs or more, or if your loaded truck weighs 26,001-lbs or more, or if you have a 3-axle truck that weighs under 26,000-lbs, or 26,000-lbs, or is more than 26,000-lbs and you cross state lines, you will need to register for IFTA fuel tax and be issued an IRP / Apportioned license plate. If you have a straight truck with 3 or more axles, and the gross weight is 26,000-lbs. or under, or if the loaded weight is 26,001-lbs. or more and you cross state lines, you will need to register for IFTA fuel tax. If you have a straight truck pulling a trailer and the combined weights when loaded are 26,001-lbs or more and you cross state lines, you will need to register for IFTA fuel tax. This applies to commercial vehicles that are For-Hire, Private commercial vehicles and Farm-plated vehicles crossing state lines with vehicles described above.
- IFTA Fuel Tax Reporting Your home state will issue IFTA fuel tax credentials to you. In the month following each Quarter, you will need to submit a Quarterly IFTA fuel tax report with the mileages driven in each state and fuel purchased in each state during the Quarter to the IFTA fuel tax department of your home state. For the first Quarter of January, February and March, the report needs to be compleded and submitted to the IFTA fuel tax department in April. The second Quarter report needs to be submitted to the IFTA fuel tax department in July, the third Quarter IFTA fuel tax report in October and the fourth Quarter IFTA fuel tax report in January of the following year.
- IFTA Fuel Tax Record Keeping Requirements You will be required by the state for the IFTA fuel tax to keep accurate records of all trip mileages and fuel purchases you make - loaded, empty or bob-tailing. In the event of an IFTA fuel tax state audit, you can use your log book to keep records of all trips and mileages as long as the State Auditor can obtain accurate mileages from your log book, including mileage readings every time you cross state lines. Or you can use trip sheets to record the mileages and gallons of fuel purchased. Typically, an Auditor will need to know what routes you will have taken and the mileage readings from your odometer every time you cross state lines. All trucks with IFTA stickers are subject to an IFTA fuel tax audit. These can be random audits, or triggered by inaccurate reporting, such as rounding off mileages (300, 500, 650, 900 etc) at the time you complete and submit your IFTA fuel tax reports. - Application for a USDOT Number USDOT Number Some states require commercial vehicles (a vehicle used in your business) with a Gross Vehicle Weight Rating (GVWR) of 10,001-lbs or above to be registered for a US DOT number. For these states, a combination truck and trailer, or a van and trailer with Combined Gross Vehicles Weight Ratings (CGVWR) of 10,001-lbs or above are also required to be registered for a US DOT number. If you have a vehicle used in your business that has a GVWR 10,001-lbs or above, or a commercial vehicle pulling a trailer with combined Gross Vehicle Weight Ratings (GCVWR) of 10,001-lbs or more crossing state lines, you are required to register these vehicles for a USDOT Number. If you cross state lines at 10,001-lbs or more with a commercial vehicle or a commercial vehicle pulling a trailer, you will also be required to register for UCR - Unified Carrier Registration.
- Carrier Authority ICC Authority / DOT Authority For-Hire Carriers crossing state lines haul either Exempt loads or loads that require Trucking Authority / MC Number, commonly known as Trucking Authority, DOT Authority, MC Number, as well as Absolute Trucking Authority, ICC Number, ICC Carrier. Other names are ICC Numbers, ICC MC, ICC MC Number, FMCSA Authority, ICC Permit, etc. We can apply for your ICC Number / ICC Numbers, register you for UCR and do your Quarterly IFTA Fuel Tax reporting for you. If you haul Exempt loads (grain, livestock, logs) across state lines, we can apply for your USDOT number, register you for UCR and do your quarterly IFTA fuel tax reports. You will not need to register for ICC Authority / DOT Authority when you haul Exempt loads.

- UCR - Unified Carrier Registration UCR Any commercial vehicle with a GVWR (Gross Vehiocle Weight Rating) at 10,001-lbs or above, or a commercial vehicle pulling a trailer where the GCVWR (Gross Combined Vehicles Weight Rating) is 10,001lbs or more, crossing state lines, is required to be registered for UCR - Unified Carrier Registration. Carriers with vehicles crossing state lines (Private Carriers, Exempt Carriers and Carriers with ICC Authority / Trucking Authority / DOT Authority / MC Number, etc. are required to register for UCR - Unified Carrier Registration. - SSRS - Single State Registration SSRS Before the current UCR - Unified Carrier Registration System was implemented in September 2007, Carriers were required to register with their home state for the Single State Registration System, or SSRS. Carriers are now required to register through UCR - Unified Carrier Registration System.
- New York HUT Registration NY HUT The New York HUT (NYHUT, or New York Highway Use Tax) is a Weight Distance Tax that requires powered vehicles weighing above 18,000-lbs, or truck and trailer combinations, or tractor and trailer combinations weighing above 18,000-lbs, entering the state to register for the New York HUT. This needs to be done before you enter New York state. Call us to register you for the New York HUT.
- Kentucky KYU Registrations KYU Vehicles Weighing 60,000-lbs or heavier driving into Kentucky are required to be registered for a Kentucky KYU number. The registration process for a Kentucky KYU number must be done before entering the state. Call us for a Kentucky KYU number.
- New Mexico Weight-Distance Tax Registration New Mexico Tax New Mexico is a weight-distance tax registration state where you pay a mileage rate to cross the state. You pay either at the border or you can pre-register for the New Mexico Weight-Distance Tax Registration and pay once each quarter. If you pre-register with the state, you will be paying almost a quarter of the tax you will pay at the border if you do not pre-register. Going East or West on I-40 through the state at 80,000-lbs, if you pre-register, you will pay around $16.50. If you pay at the scale house, you will be charged $60. It is much cheaper to cross New Mexico after registering with the state).
- Oregon Weight-Distance Tax Registration Oregon Tax Oregon is the only non IFTA fuel tax state. Oregon Weight-Distance Tax Registrations are required to travel through the state. You can pay either at the border to cross Oregon, or register for the weight-distance tax and pay monthly.
- Texas DOT / TX DOT / DOT Texas Texas DOT Texas isues DOT Numbers, also known as Texas DOT, TX DOT, DOT Texas, Texas DOT License, DOT State of Texas, DOT State TX US, DOT State TX, etc. for different types of businesses and operations. We will register you with the state for a DOT number for your business operation. One type of operation requiring a Texas DOT number is Texas Intra-State Authority for your truck or semi-tractor and trailer allowing you to pick up and deliver loads inside Texas. If you also pick up loads in Texas and take them out of state, or bring loads back in to Texas, you will also need a USDOT Number or US DOT Number (same thing). If you take loads out of state and / or bring loads back in to Texas, you may need to apply for Interstate Authority, also commonly known as ICC Authority, DOT Authority, and an MC Number. Other names used for Interstate Authority are Absolute Trucking Authority, ICC Number, ICC Carrier, ICC Numbers, ICC MC, ICC MC Number, ICC Numbers, ICC Filing, etc, Call us for a Texas DOT Number.
- Exempt Loads Information Exempt Exempt loads imply that you do not need ICC Authority / Trucking Authority / DOT Authority to cross state lines with these loads. However, if you are 10,001-lbs or heavier, you will need to register for a USDOT Number. If you are 26,001-lbs or heavier and cross state lines, you will need an IRP license plate, register for IFTA fuel tax and register for UCR - Unified Carrier Registration.
- 2290 Federal Highway Use Tax 2290 Trucks and tractor - trailer combinations weighing above 54,999-lbs are subject to the annual 2290 Federal Highway Use Tax.
- Application for an EIN Federal ID Number EIN If you are an employer you need to file employment taxes with an EIN Federal ID Number. If your truck or tractor-trailer combination weighs more than 54,999-lbs loaded, you need to file the annual 2290 Federal Highway Use Tax with an EIN Federal ID Number. A Social Security Number is not accepted for the filing.
